Teresa Arb, Yi Zhang, Dave Mulvhill, Ian, Nicole (Yi wants to be included to future planning meetings.)

Manually entered.
100-110 live studies at any given time.
Would need to work with Jeannie if we move it to RedCap.

One federal (not NIH), and two foundation proposals. Federal is the one due in September, one of the foundation proposals is already submitted.

Participant registry is its own study in Redcap. And then they have a master file database in Redcap (they manage all the workload in this one). That project ID: VFH Master Log 215

Consent/enroll in Redcap and then they move it out to Access daily.

Ian: We now pull Redcap into our data lake so there are a lot of options there.

Teresa thinks it would be great to make Study Search work in Redcap.

When the study team fills out their registration they have to dumb it down for public facing.

New, Draft, Pre-reviewing, pending, published, expired and archived. She doesn't think we need all of those.

Sometimes they need to pause the enrollment.

In SS, Shaw puts in an IRB approval date. SS automatically expired them. They would get an alert and Shay would reach out to the study team to double check, and if she didn't hear back she would close it out and put it into an archive folder.

Ian thinks a really good start would be to transition it all to Redcap and then wrap a website around it.

Best people to work with are Teresa, Shay, Peaches and Yi if she can attend.

Oncore pushed to new system would still need to be curated according to Yi.

Yi is interested in getting more treatment trials into Study Search. Could all open enroll trials show up in SS?

The issue is Jeannie wants the IRB approval (has to be written in the IRB = study search for recruitment) before it can actually be posted. Yi is thinking it would be great to set up automation route from Oncore if it isn't too much work to look at the protocols and checking IRB.

Yi wants to ask Jeannie if they can add Study Search as something study teams need to opt out of which would make things easier.

Wants to keep key words & categories available. Would it be a dealbreaker to use Mesh terminology? Shay does try to keep it simple and even using PI names, etc.

How will we avoid automated Oncore feeds overwriting manual entered studies? SS is fairly high level so wouldn't really care about amendments. This piece will be the tricky piece.

Dave: Oncore will shut down the feed for now and spin it back up when we are ready.

They want to keep the Featured Study part of it. Also, Shay likes to be able to change pictures. Image management is tricky in Redcap so may have to use an box folder URL or other alternative.
