WashU MDClone Access Requests
- Requests will come in for several types of users and the process is slightly different for all. Examples of user requests are internal WashU employees and students, external MDClone employees, and external trainees such as the Africa Trainees group as part of the DS-1 Africa grant.
WashU Internal Employees and students with an existing WashU Key
- MDClone account requests should be submitted using the REDCap survey to collect information for creating the user account. The following REDCap survey will collect this information: https://redcap.link/mdclone_access
- NOTE: Any external group will not have a wustl key to fill out the form so our team will need to complete extra steps to secure their access.
- After submitting an MDClone request, an email will be sent to the I2Dom helpdesk to process the account request. If the MDClone request is complete and includes the HIPAA training form and signed User Access Agreement, an MDClone account can be created.

External MDClone employees

The first step is to submit a request for a contingent employee. The following form is required to be completed: Contingent Worker Request (pdf). We will need to ensure we have the employee's work address for this form. After completing this request on their behalf, please email Ellen Francka, Sr. HR Specialist in OHIDS, with the completed form. NOTE: contingent worker requests sometimes expire after a year. If this happens, fill out another contingent worker request form and submit as above.

After a WashU Key is secured in the above process, we need to request the user is added to a Vendor VPN Group using this form.

And if needed because the form was submitted by someone else, the sponsor or potential approver may need to fill out this form to receive the service now ticket to approve.

A few MDClone employees will need remote desk-top (RDP) access to use the ADAMS Platform, and to download files for validation work. To do that, those employees should log in through VPN and connect to 10.25.13.23 using RDP.
External users such as trainees from the DS-1 Africa Grant:

If another WashU sponsor (ex. Mac Hofford for Africa trainees) wants to submit on their behalf, they can do so by taking the following survey: https://connect.wustl.edu/guest/guestrequest/

- The WashU Key of the person you are adding should be added to Vendor Guest WashU Key ID.
- For IP address/server name put the MDClone weblink
- For Vendor company name use something like WUIT-Vendor-UnivRwandaAndDSIAfrica or XX grant
- https://gateway.mdclone.washu.edu/adams/ should be added to IP address/server names
- And if needed, because it wasn't I2DB who filled out the form, the sponsor or potential approver may need to fill out this form to receive the service now ticket to approve.

Accounts create for MDClone Version 11 will require an additional step in the onboarding process. New users will need to be added to the following:

To add a new user, navigate to this page, click Add members, and search for the member you want to add.
Once you find the user you want to add, click select.
This adds the user to the WUIT-AppConsent-MDClone-Production group.
