Onboarding a New ICS Team Member
Problem
You need to onboard a new ICS team member into your group.
Solution
Ensure that you've gone through the check list below:
General Stuff
WUSTL IT Related
- Confirm Email/WUSTL account is set up.
- Requisition Laptop and accessories. If remote and out of town, may send it to their home, otherwise work with Sherry to pick up at 4444 Forest Park when it is ready.
- Request WUSTL VPN access.
Organizational Overview
- Share and describe organizational structure
- About ICS link broken
- Teams Overview link broken
Administrative Set Up / Paperwork
- Sign remote work agreement (if applicable)
- Addition to General Mailing Lists, & Microsoft Teams Groups
- Share common ICS Team Meetings
- OHIDS Town Hall Meetings
- ICS Monthly Team Meetings (leadership as applicable)
- Data brokerage/warehouse/platform engineering: scrums, sprint planning, backlog refinement, retro/demo, open office hours, team building, end-of-month billing huddles
- Mention Team Specific Meetings
- Access to shared department calendars on Outlook (how to declare Work From Home (WFH) or Out of Office (OOO))
- Add to any relevant IRB protocols
- Introduction to Time Tracking
- Creation of DevOps account
- Addition to general Box account folders
- PHI Training: HIPAA and CITI
- WUSTL HIPPA 101 Training
- CITI / IRB Training
- These need to be completed by the new employee before access can be given PHI specific data and data sources!
- EPIC Certification: Manager - request Epic login credentials/assign role (front end) via Epic1.org
- For internal transfers, will need to update their role via Epic1.org
- Submit for Tier 4 or Tier 5 training (as applicable)
- Epic Tier 5 Teams Community (after getting Epic Tier 5 access)
